In addition to our supported Identity Providers, you can also create and manage user credentials in Clever. With Clever Passwords, administrators define rules that generate a username and a default password for users.
To setup Clever Passwords for your district, once in your dashboard navigate to Portal > Login Settings > "Add Login Method" and then choose the "Clever Passwords Authentication" option:
Setting Usernames and Passwords for students, teachers, and staff
The usernames that students and teachers use with Clever are generated from information in your SIS sync.
The options you can use to set usernames are:
- student number/teacher number/staff ID
- email address
- SIS ID
- or the district username uploaded in your sync
If you change a user’s information in your sync, it will change their username - for example, if you change the email address for a teacher in your SIS and have configured Clever to determine usernames based on email addresses for teachers, that teacher will now have the new email address as their username.
Using 'District Username from SIS': For this option, you'll need to make sure your district has usernames syncing to Clever. If you're syncing data to Clever via an SFTP transfer, you can update this by populating the 'Username' field in your students.csv and/or teachers.csv files. If you're using an Auto Sync sync, please contact Clever Support so we can help you to get this information synced to Clever.
The options for passwords are:
- student number/teacher number
- district password uploaded in your sync
- SIS ID
- Birthday in the following formats: MM/DD/YYYY; MMDDYYYY; M/D/YYYY
If you’d like users to be able to change their passwords, check the box next to “Allow to reset their passwords." For more on what this means, check out the Locking Passwords section below.
If you would not like users to be able to change their own passwords, do not check the box next to “Allow to reset passwords”
This means that that user type will not be able to change their own passwords using the instructions in the “Changing Passwords” section.
However, users of a higher access level can still reset their passwords on their behalf: Students can have their passwords changed by teachers and district admins, Teachers can have their passwords changed by district admins.
If you change a user’s information in your sync, it will not change their password - for example, if you change the birthday for a student in your SIS and have configured Clever to initially generate passwords based on birthday for students, that student will still have the same password that they had before.
To select 'District Password from SIS', you'll need to make sure your district has usernames syncing to Clever. If you're syncing data to Clever via an SFTP transfer, you can update this by populating the 'Password' field in your students.csv and/or teachers.csv files. If you're using an automated sync, please contact Clever Support so we can help you to get this information synced to Clever.
If a teacher forgets their password, they can reset password it by clicking ‘Get help signing in!’ on the Clever Portal login page. They can enter their email address associated with the account, and we will send them an email that allows them to reset their password. Please note: if teachers do not have email addresses in Clever, teachers will not be able to reset their own passwords, but can still have their password changed by a district administrator.
Students can reset their password via email by clicking ‘Get help signing in!’ on the Clever Portal login page. Because many students don’t have email addresses, Clever also allows teachers to reset the passwords of their students. To do this, a teacher should log in to the Clever Portal, click on the ‘Students’ link at the top of the page, and find the student who needs help logging in. By clicking on the student’s name, they can view the student’s username and reset the student’s password to a temporary one. Once the student logs in with the temporary password, the student will be required to set a new password. Here's more about how teachers can help students log in.
A district administrator can view the username and reset the password for any student or teacher in their district. To do so, the administrator should use the Clever Data Browser to find the student or teacher in question, and then click on the user to view their details. Here, the administrator can view the username and reset the password. The student or teacher should use that new password the next time they log into Clever.
