Clever is excited to empower families to help their students log into their edtech apps anywhere! The family accounts are designed to provide parents and guardians secure access to their students' login information (including Clever Badges) and helpful resources for troubleshooting. This article will walk through how Clever district administrators can configure who receives access to the tool and what resources will be available to them.
In the district dashboard, navigate to Family Portal
Step 1. Choose which parents/guardians should have Clever Family Portal accounts.
Option 1: Use existing parent/guardian contacts in Clever. This option will authorize Clever to pull from the contacts that already exist in the Contacts section of the data browser. These contacts are pulled in via the sync from your SIS. Please double check that the correct amount of contacts are being imported and Clever has the correct email addresses for them. You will have the ability to select contacts by grade level and by schools of their associated students and will not filter based on contact type (e.g. primary, emergency, mother, father, etc.)
If you'd like to search for a specific contact, you can do so using the search functionality from your Clever dashboard.
Option 2: Upload a .csv file of parent/guardian contacts. If you do not have a way to import an accurate list of contacts to Clever via the SIS-to-Clever sync, we recommend uploading a separate .csv file with the parent/guardian contacts attached to the students they need access to.
These files will need to contain at least two headers: student_sis_id and guardian_email. You can download the template from the blue "Download template" button at the bottom of the modal. Drag the file to the "UPLOAD GUARDIANS.CSV" and the cloud icon will turn green.
Multiple students can be associated with the same email and multiple emails can be associated with the same student. Each row in the csv should indicate a unique student/contact pair.
Step 2. Use your custom message to tell parents/guardians about the Clever Family Portal. They will be prompted to sign up for a Clever Family Portal account.
You can add your own message to parents in the comment box. The email will contain the message as well as an invite to set up their account. This email will go to every contact that has been indicated in step 1.
Admins may also elect to send a reminder email to parents to accept their Family Portal account invites. Guardians will receive a reminder email to set up their account on the last day before their invite expires. Just as with the initial invites, admins can customize their reminder email!
Step 3. (Optional) Add links from your Portal tab. Make sure to select the new "Parents/guardians" user type.
This step is identical to adding external links for students and teachers.
This step is optional and parents/guardians can still access the login tools if no external links are configured.
Parents will receive an email based on the template in step 2 of set up. Once they receive the email, they will be able to sign into their account.
Once they are logged in, they will be able to see all of the students they are associated with and tools to help them log in.
Are there any other ways (besides the family accounts) to send badges home?
Family Portal is the most secure way Clever can help districts send badges home. After accepting the initial invitation, families won't need district or teacher help to get logins for students, which means no more sending badges home through insecure mediums like email.
Can I change the email associated with a family account?
At this time, Clever cannot change the email address associated with a Family Account. You will need to send a new invite for each student to the correct email address.
What should the district do if an invitation was sent to the wrong email address?
If an invitation is sent to the wrong email address, you can revoke the invitation from the Guardians tab of a student's Clever profile.
If incorrect invitations are sent en masse, please reach out to Clever support immediately to get those accounts deprecated. Please provide a list of the student sis_ids and emails that you would like to remove family accounts for.
Can I upload new guardians without sending duplicate invites?
Yes, you can! Load new contacts into Clever, either through the SIS sync or via the guardians.csv and click send invites. Clever will send invites to everyone who has not yet accepted an invite. You can also send an individual invite to a parent from the Guardians tab of a student's Clever profile. Individual invite messages can be customized in the same way that bulk invites are sent!
