Creating custom students
If you would like to add a student that doesn't sync from your district's SIS, you can create a custom student account in Clever on an individual basis or bulk uploaded through a CSV file.
Individually create custom students
To create an individual custom student, navigate to the Custom Data page. Click “Add custom data” > “Students” and a “Create student” form will appear. Once created, custom student accounts can be treated like an SIS-synced student account.
Bulk upload custom students
- Districts using the SFTP sync method - create a subfolder within your Clever SFTP directory for custom students and upload the file in a "customstudents" subfolder:
To view your SFTP credentials, navigate to the Sync Settings page in your dashboard.
- Districts using a non-SFTP sync (auto-sync) - upload the students.csv file via the custom data page of the dashboard:
How do I format the file?
The file will need to be titled "students" and saved as a CSV file type. The minimum header requirements are the following:

Once the custom students are uploaded where can I view them?
Five minutes after the file is uploaded, Clever will automatically trigger a sync in order to process the custom students into our system. Once the sync has successfully completed - around 10-15 minutes after initial file upload - districts can view up to 100 successfully created custom students through the Custom Data page in the dashboard. If the district has 100+ custom students, all can be viewed in the data browser or via the search bar in the dashboard.
Do I need to do anything when we rollover to the next school year?
Once the normal SIS sync is running for the next school year, districts should delete these custom student accounts either manually through the dashboard or by uploading a blank template for the file
This is to prevent a "duplicate identifier" error when the student eventually comes through the normal SIS sync with the same sis/student_id.
