Some applications require student contact data that may not be stored in your district's student information system. If your district does not store student contact data in your SIS, or would like to add additional student contacts outside of your Clever sync, you can now upload student contacts to Clever using a contacts.csv file. Student contacts can be uploaded via the web browser or via SFTP transfer!
Formatting your CSV file
In order to use this tool, you will need to create a contacts.csv file that contains information pertinent to your student contacts.
File Name: contacts.csv
|contact_id||Y||String||Unique identifier for the contact|
|student_id||Y||String||Student’s sis_id, so Clever can tie the contact to associated students. Must be valid Student ID of an existing student and match the value Student ID on the student profile:
|first_name||Y||String||Contact’s first name|
|last_name||Y||String||Contact’s last name|
|type||Y||String||Type of contact - e.g. “family”, “emergency”, or “guardian”|
|relationship||N||String||Contact’s relationship to student - e.g. “Father”, “Aunt”, or “Neighbor”|
|phone||N||Integer||A 10 or 11 digit phone number|
|phone_type||N||Option||Type of phone contact. Supported values: Cell, Home, Work.|
|N||Contact’s email address. Must match format email@example.com|
How to upload your CSV file
You can upload your contacts.csv file from the Custom Data tab.
Once uploaded, you will see the following status message:
SFTP Upload (not available for Clever-managed sync types)
If you prefer to upload your contact data via SFTP:
- Connect to your Clever SFTP directory using the credentials found on your Sync Settings page under SFTP Settings
- Create a directory called: customcontacts
- Add the contacts.csv file to the customcontacts directory.
The file will be processed by Clever in 10-15 minutes.
Reviewing the results
Once your contacts are uploaded to Clever, you can search for a contact record using the search bar, or by locating a specific student's record and navigating to the Guardians tab.
Updating contact data
In order to update information after the initial upload, re-upload the contact.csv file with the edited or altered data. Manually adding or editing contacts is not supported. When re-uploading your contact file, be sure to re-upload the entire file with any new data added to your original file. Uploading a file with only new contacts will delete previously synced contacts.
Can these contacts be shared with applications?
Yes! Contacts uploaded via contacts.csv can be shared with applications that support/require student contact information. Contact data is shared implicitly with student records, so there is no need to update your sharing permissions to include student contacts.
Can I send Family Portal invites to these contacts?
Yes! Family Portal invites can be sent from the Family Portal page or from the individual contacts record on the Guardian tab of a student record.
